As a member of the Strategic Accounts Team, the Administrative Assistant is responsible for providing clerical support, sales support, and general administrative support to the department.

Position responsibilities:

  • Supports the department in co-coordinating the sales function to include customer service, calculating monthly and quarterly customer rebates, sales and margin reporting. Manages the internal communication out to the Membership.

  • Supports the Strategic Accounts Department by on-boarding new accounts, assisting in setting up accounts in store systems, and providing program information and training to stores.

  • Collects and produces monthly performance data including, but not limited to, sales and margin information.

  • Provides administrative and clerical support for Strategic Accounts by maintaining records and correspondence; preparing reports and coordinating processes associated with Strategic Accounts initiatives.

  • Provides inside sales support for Strategic Accounts by fielding and responding to Account and store questions, requests for quotes, product crosses, shipping and billing issues, etc.

  • Serves as the liaison between the Strategic Accounts department and other internal departments to implement Corporate and DC processes required to support Strategic Accounts, including ensuring product availability, supporting AR in collecting from Accounts, supporting AP in payments to stores and/or vendors, working with DCs to ensure shipments meet Account specifications, etc.

  • Ensures complete and accurate documentation of Strategic Accounts programs, processes and procedures.

  • Manages the Central Bill data collection and production of quarterly rebate checks in an accurate and timely manner.

  • Facilitates the implementation of technology to improve Strategic Accounts processes (e.g., customer tracking databases, reporting tools, web tools). Identifies business requirements, communicates requirements to third-party providers and internal IT staff, documents processes, and works with all stakeholders to ensure functionality and that business requirements are met.

  • Completing any additional job duties as assigned by the supervisor.

Position requirements:

  • Associates degree (A.A.) from an accredited college or university; 2-3 years of related experience; or equivalent combination of education and experience.

  • Knowledge of basic accounting principles, including AP, AR, sales and gross profit analysis.

  • Ability to use current MS Office applications, including advanced Excel.

  • Ability to develop and use systems for organizing and maintaining information.

  • Knowledge of process improvement principles and methodologies.

  • Ability to integrate technology and operational procedures into business processes.

  • Project management skills: defining objectives, creating timelines, scheduling and planning project resources, documenting processes, monitoring and evaluating project status.

  • Ability to coordinate across multiple departments/locations as well as coordination of 3rd party project responsibilities.

  • Ability to resolve customer issues and build rapport on the phone.

  • Ability to organize and follow through with complete fulfillment of customer requests.

  • Problem-solving skills: listening to, interpreting, and meeting the needs of others; diagnosing and rectifying problems.
