PRIMARY PURPOSE AND FUNCTIONS:
This role has primary responsibility for payroll processing, providing general administrative support to the people team, and receptionist coverage. You will have an opportunity to serve our employees through your passion for people, service orientation, and process ownership.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Overall responsibility for all Payroll functions
Process accurate submission of weekly payroll to payroll service, providing payroll reports to management, resolving time entry and payroll related errors, and meeting all associated deadlines
Process monthly and quarterly commission payments, annual bonus payment and any other ad hoc or scheduled employee payroll processing and related reporting to include processing Fringe Benefits.
Participates in applicable audits (internal and external) by providing requested reports and information (these may include but are not limited to 401K, Workers Compensation, state, federal, and parent company, etc).
Ensure integrity of Payroll system data by verifying data of all new hires, terminations and HR changes for accuracy.
Utilize systems to provide scheduled and ad hoc reports to various functional areas and leadership as requested.
Ensure compliance with all applicable state and federal wage and hour laws.
Communicate with employees and support leaders on Payroll related matters.
General Administrative Support
Reception - receiving visitors/applicants, management of first impressions
Answering Operator Phone Calls
Meal coordination as needed
Support for People Team
All aspects of applicant communication and scheduling; recruiting and onboarding calendar management
Temporary employee management including temp requests, scheduling, time tracking, and billing reconciliation.
Scheduling of new employee onboarding, including mailing new hire info and swag
Coordination of employee recognition programs including Cream of the Crop and Workaversaries, life events, birthdays, etc. (scheduling, ordering gifts, etc.).
Processing weekly expense reports
Order meals when needed (Town Halls, Large Meetings, Roundtables)
KNOWLEDGE, SKILLS AND EXPERIENCE:
Minimum of 3 years of prior multi-state payroll experience using a web-based system and experience providing administrative support experience in a fast-paced environment.
Associate's Degree Preferred (or equivalent combination of education and experience)
In-depth understanding of state and national payroll regulations and laws
Strong systems background; experience with ERP systems (Microsoft Dynamics a plus)
Commitment to serving internal customers; ability to establish and maintain effective working relationships with key internal stakeholders
Proven ability to manage and prioritize multiple tasks in a changing environment within required deadlines while demonstrating a calm, professional demeanor
High attention to detail and organizational skills while managing confidential information with discretion
Comfortable learning new systems with intermediate to advanced use of Microsoft Office programs required.
Bilingual a plus (Spanish / English preferred)
