POSITION OBJECTIVE The assistant director of advancement services is a key position within the Office of Advancement Services providing administrative leadership and operational expertise for the processing of all charitable contributions and pledges for Case Western Reserve University. The position is responsible for directing both biographical maintenance data integrity practices and gifts processing data integrity practices for all charitable donations (gifts and grants) that come in to the university. Working with minimal supervision, this position will be responsible for the timeliness and accuracy of gift and pledge data within the Advance database. In addition, this position is responsible for advising on the university's endowment funds, guidelines, and policies, while tracking new endowments and producing endowment reports for University Relations and Development staff to use for Board of Trustee meetings. ESSENTIAL FUNCTIONS *Direct, manage, and coordinate the accurate processing of charitable gifts and grants within the Gifts Processing unit to ensure data integrity guidelines and procedures are followed. Set up new allocation codes within the Advance system and maintain the Allocation TMS table. Modify existing funds, perform journal entries to move money, balance dollar totals for cash and non-cash university charitable gifts and grants within the financial management system and perform modifications to existing gift and pledge records within the Advance system. Balance online Cybersource activity on a daily basis. Serve as an expert consultant for Advancement Services and customer base on issues regarding endowments and other university funds. (45%) *Develop, implement, measure and report on the effectiveness of a data management plan promoting continuous improvement of database quality. Maintain current knowledge of methods, techniques and information sources for data management in comparable fundraising environments. (20%) *Apply statistical sampling, audit trailing, and other methods to oversee and maintain an audit system for the Advance database to ensure Advance data conforms to the quality standards. Ensure accurate maintenance of the University's alumni/development database while working with biographical maintenance staff to adhere to data integrity guidelines and procedures. (15%) *Investigate, analyze and document business processes and data integrity issues in conjunction with the director and other supervisory staff within the department. Identify and analyze any non-conformance of data to determine the scope and seriousness of the problem; develop a course of action to correct any instances of non-compliance; and organize and lead a review and resolution meeting of affected constituents. Work with users, application team and technical staff to diagnose and resolve problems relating to a variety of business processes. Develop additional data auditing reports as needed. Direct small project teams to ensure resolution of data integrity issues. (15%) NONESSENTIAL FUNCTIONS *Ensure Advancement Services standards, policies and procedures are adhered to for all business applications. Ensure Case Management Reporting (Council for Support and Aid to Education) standards, policies and procedures are adhered to for all business applications, particularly in regards to acceptance, deposit general accounting of charitable donations and charitable grants.
